As we expand, we are seeking a senior-level professional to work directly with the CEO, leading internal process organization, team management, and project execution. The goal is to bring effective solutions and autonomy to support the company’s continued growth.

Conditions

  • Initial full-time contract (40 hours/week, exclusive dedication): R$ 5,000/month.

  • 100% remote position with flexible hours aligned with the U.S. time zone.

Responsibilities

  • Organize and manage all internal demands from the CEO, ensuring the remote team receives clear instructions and deadlines.

  • Create processes and routines that simplify task execution and review.

  • Identify problems and propose practical solutions to improve operations.

  • Implement organizational tools, CRM systems, and automation to increase efficiency.

  • Manage the CEO’s calendar, meetings, and strategic schedule to free up time for business growth.

  • Monitor team performance, ensuring clear communication and consistent results.

  • Prepare weekly reports on project and operational status.

  • Participate in strategic planning by suggesting improvements and new workflows.

Requirements

  • Preferably with a degree in Business Administration or related fields.

  • 3 – 5 years of experience in project management, operations, or strategic executive assistance.
  • Intermediate/advanced English (reading and writing required).

  • Proven track record of helping entrepreneurs or executives organize operations and improve productivity.

  • Strong problem-solving skills, process creation, and ability to work independently.

  • Familiarity with Trello/Asana, HubSpot CRM, Google Workspace, and automation tools.

  • High-performance computer, stable internet (minimum 50 Mbps), and quiet work environment.

Operations - Project Manager

Position Overview

SAES Professional Services is seeking a Document Review and Processing Assistant to work remotely, supporting our internal team with tasks involving document review, form completion, and administrative processes. This role focuses on reviewing forms for accuracy, identifying inconsistencies, and managing immigration- and school-related documentation for clients.

Note: There is no direct contact with clients. All communication will occur exclusively with the internal team.

Key Responsibilities

  • Review documents and forms to ensure all information is accurate, complete, and
    consistent;
  • Fill out registrations and forms related to schools, universities, immigration, and visa
    processes for the USA;
  • Identify errors or incomplete data and communicate with the team for necessary
    adjustments;
  • Ensure proper file organization and document compliance using Google Drive;
  • Carefully proofread texts and forms, checking for grammar, formatting, and typographical
    errors;
  • Manage a steady workflow of tasks, prioritizing efficiently and meeting deadlines;
  • Work independently, proactively seeking solutions and adapting to new processes when
    needed.

Required Skills and Competencies

  • Text Interpretation: Advanced ability to interpret complex texts in English and Portuguese;
  • Extreme Attention to Detail: Ability to spot errors, inconsistencies, and missing
    information in documents;
  • Time Management: Strong ability to plan, prioritize, and complete tasks under tight
    deadlines;
  • Proactivity: Self-motivated to work independently and solve problems without constant
    supervision;
  • Focus and Discipline: Ability to maintain productivity and accuracy while working
    remotely;
  • Strong Communication (written): Clear and concise communication with team members;
  • Technical Skills: Proficiency with Google Drive tools and basic knowledge of Microsoft
    Word and Excel;
  • Typing Speed and Accuracy: Efficiency in completing data entry tasks;
  • Positive attitude, reliability, and a strong sense of accountability;
  • Ability to learn quickly and adapt to new tools, systems, or processes.

Requirements

  • English: Intermediate/advanced level, with strong focus on reading comprehension;
  • Spanish: Intermediate/advanced level is a plus;
  • Reliable and high-performance computer;
  • Extremely fast and stable internet connection;
  • Quiet and distraction-free workspace;
  • Availability to work 20-25 hours per week, during company hours (8:30 AM – 5:30 PM ET |
    9:30 AM – 6:30 PM Brasília Time).

Compensation and Opportunities

  • Salary: R$2,000 – R$2,500 (based on qualifications and experience);
